Position: Procurement Assistant

Location:  Abuja

Overall Responsibility:

This role involves various procurement functions including Strategy & Planning, Advisory and Support, Sourcing, Negotiation and Contracting, Supplier Performance, Knowledge Management, Supervision, and Relationship Management. The Procurement Assistant will execute these duties in accordance with MSI Nigeria Procurement Guidelines, Standard Operating Procedures, and other relevant policies.

Core Responsibilities:

Liaison, Coordination & Technical Support

  • Communicate with suppliers, contractors, and MSI Nigeria staff regarding purchase requisitions, specifications, bids, contracts, orders, and related matters.
  • Provide technical guidance to Programs and Departments in drafting specifications, establishing price estimates, and other procurement technical aspects.
  • Manage user expectations in line with applicable procedures and processes.
  • Ensuring the clearing of WaCA goods and managing relations and customs regulations with clearing/forwarding agents, government and transporters.
  • Working in close collaboration with the Intersectional Customs and Clearence Manager and the colleagues from other OCs.
  • On behalf of WaCA identifying backup companies for freight and clearing agents (for air and sea cargos).
  • Preparing transport contracts with commercial flights or road transportation between Coordination and projects
  • Cargo booking with MSF flight for the whole mission and share information with FlightCo 48 hours prior movement.
  • Doing reception of international cargo (both log and med)
  • Organising shipment of local cargo with the support of storekeeper/pharmacy supervisor.
  • Providing data about transport and customs for monthly report.
  • Providing clear information about freight and customs for POA or ARO.

Required Skills and Competencies

  • Education: Minimum Secondary Education Certificate is required.
  • Experience: At least 2 years experience in Supply chain-related jobs or in the logistics department is required.
  • Required experience working with NAFDAC and Importation of Cargos.
  • Experience working with MSF or other NGO is desirable.
  • Computer Literacy: Computer proficiency (word and excel) is required.
  • Languages: English Required.
  • Competencies and Qualities: Result and quality orientation, teamwork and cooperation, behavioural flexibility, Service orientation, Stress management and commitment to MSF Principles.

Remuneration
According to the MSFW salary scale (Level 5) in Nigeria
