Senior Administrative Officer at Catholic Relief Services (CRS)

Catholic Relief Services (CRS) is an International non-governmental organization supporting relief and development work in over 99 countries around the world. CRS programs assist person on the basis of need, regardless of creed, ethnicity or nationality works through local church and non-church partners to implement its programs, therefore, strengthening and building the capacity of these partner organizations is fundamental to programs in every country in which CRS operates. CRS re-established presence in Nigeria m 2000 and currently focuses on agriculture, HIV and health extractives and governance, and peace building programming.

Job Summary: 

You will coordinate the provision of responsive, effective, and efficient administrative services to CRS Maiduguri. You will help ensure stewardship of resources and a high-quality service approach are integrated into administrative systems, policies, and procedures. You will ensure that office facilities, guesthouse facilities for international staff are well maintained, cleaned, and comfortable to live and work in. You will also provide advice, mentoring and capacity building to JDPC on the set up and functioning of effective and compliant administrative systems, procedures, and services for the DRIVE project. This position is contingent upon the award of the grant.

Roles and Key Responsibilities: 

  • Coordinate and report on activities and required resources to ensure cost-efficient and quality service delivery from administrative support functions.
  • Help ensure administrative systems, processes, and policies are in line with agency standards and donor and local law regulations. 
  • Engage with relevant external stakeholders (government officials, landlords, service providers, etc.) on assigned administrative matters and help ensure required authorizations and documents are up to date.
  • Coordinate the efficient use of CP assets and rented facilities. Help ensure fully compliant procurement of office materials and asset management systems.
  • Help identify safety issues and ensure a safe and sound work environment.
  • Coordinate the provision of travel and logistics support and services to staff and visitors. Coordinate event planning activities, including delegation visits, training, and workshops.
  • Participate in the CRS assessment of JDPC capacity and systems for operations, including administration, and the development of a capacity strengthening plan.
  • Provide capacity building to the JDPC DRIVE   team on the organization and functioning of administrative systems and functions.
  • Carry out any other duties as assigned by the supervisor for the implementation.

Required Languages – English and Hausa are essential. Kanuri is strongly preferred.  

Travel – Must be willing and able to travel up to 20 %.

Preferred Qualifications

  • Additional education may substitute for some experience.
  • Experience and proficient skills in MS Office package (Excel, Word, PowerPoint, Visio) and information management systems.

Key Working Relationships:

  • Internal:   DRIVE Program Director, CRS Maiduguri international staff, CRS Admin, Fleet and security team in Maiduguri and Abuja.   
  • External: Vendors, suppliers, JDPC DRIVE team.

Basic Qualifications 

  • Bachelor’s degree in business administration, criminal justice, peace and security studies, political science, or relevant field preferred. 
  • Minimum of 2 years work experience in administrative support functions, with increasing responsibility. Experience with a local or international NGO a plus.
